Secretarial

  • Attendance at trustees meetings by arrangement

  • Keeping Minute Books, Attendance Registers, Register of Section Bondholders, Sectional Plans, Company Register and Related documentation, Rules, Insurance Policies and all other permanent records of the Body Corporate /Homeowners Association

  • Assisting and advising the Trustees on procedural matters such as General Meetings, Special General Meetings, Quorums, Proxies, Resolutions, Voting Rights, and other requirement of the Acts and Regulations.

  • Attending to Notice of Meetings, Proxies, Nominations and Agenda

  • Completion of all relevant legislative document and forms, as and when required

  • Attending to and despatching of all returns, such as SARS, UIF and related documentation timely

  • Preparing and despatching notices, as required under the various Acts, Regulations and Rules

Accounting

  • Prepare an annual estimate of income and expenditure for submission to the trustees and the members for approval, thereby determining and confirming monthly levies

  • Periodic review of the estimates of expenditure and maintaining a 10 year schedule of maintenance and repairs

  • Keep full records of the administration including proper books of account in accordance with Generally Accepted Accounting Practice in SA and in the manner required by the Sectional Titles Schemes Management Act.

  • Prepare monthly un-audited Income and Expenditure and arrears reports for dispatch to the trustees and/or directors

  • Submit annual audited statements to the Trustees/Directors and Members
